LOAD IN:
- Location- MJN CONVENTION CENTER (formerly Mid-Hudson Civic Center): 14 Civic Center Plaza, Poughkeepsie, NY
- Set up Friday 8/2/24 from 12pm-7:30pm and 8/3/24 7:30am-9:30am NO VEHICLES ARE TO PULL INSIDE THE BUILDING TO UNLOAD. DO NOT LEAVE YOUR VEHICLES PARKED AT THE LOADING DOCK IN THE BACK OR OUT FRONT BLOCKING OTHERS FROM TRYING TO UNLOAD.
Loading info on Building Move-in and Load-Out Locations (pics provided in link at the bottom):
#1 Loading Dock in the back is off of Main street.
This is a single lane drive down, it can be a tight fit at the load in, so some staff will be there to help unload you as quickly as possible. We are limited on staff.
#2 Load in the front of the building. Drop your stuff off is the best way then go move to the parking garage across the street or street parking. We will have a staff member out front to help unload you as quickly as possible.
- Kevin Koniowaka, and Samuel Chase will be the sales floor managers.
- We will have staff to help you move in as quickly as possible.
- Please speak to the floor managers if you're having any issues they will be wearing STAFF badges. If you have questions or concerns for Samuel Chase please contact him at mhcomiccon@gmail.com prior to the event. While helping load and organizing the event, emails will not be checked until the late evening of the show.
- The sales floor opens Saturday at 9:30am (930am-10am for VIP's only) and closes at 6pm. Sunday hours 9:30am-4pm.
- YOU MUST BE SET UP BY 9:30AM! This has been an issue with many exhibitors at shows. We know you only have a few select hours to load in and out and we respect that, BUT when people have a 2 hour set up and show up at 9am (or 12pm), this is unacceptable. When VIP's come in at 9:30am and regular attendees at 10am, this affects the show. We have tolerated it a lot in our shows, but we can't anymore.
- Signing in: Your envelope of tickets will be on your table. You will be brought over to that table by a sales floor manager. Saturday wristbands for Saturday, Sunday for Sunday. DO NOT take others' wristbands from others tables.
- You are only allowed a certain number of tickets depending on the amount of tables or booths you purchase. If you need extra vendor/artist tickets they will be $30 for the weekend (we only give weekend passes).
- There is a parking garage across the street for a special rate of $5 a day, unless they change it.
- No tablecloths will be provided, please bring your own if desired.
- All power is FREE, but please bring your own extension cord/ lead cord. If you need power and need the floor plates on the floor opened, please see sales floor staff. Please do not leave the cord lying on the ground, they must be run underneath the other vendors tables unless you have a power cord protector so no one trips.
- No extra tables to be brought unless given special permission. You may request it if necessary through email mhcomiccon@gmail.com.
- DO NOT take chairs or other tables from other vendors!
- DO NOT feel you can yell or cause fights with other exhibitors, staff, celebrities or sales floor managers over an issue. Speak in an adult normal tone when addressing someone if there is an issue. If you decide yelling and inappropriate behavior is the key to getting your way or point across, you will be forced to vacate your spot and leave the sales floor immediately with no refund. You will not be allowed to return to any future shows. No exceptions. Everything is to be handled in an adult manner. If there are issues where you feel you can't work out with another exhibitor, please get a staff member and/or contact Samuel or Kevin. You have rented space from Chase Con Expo LLC for the event, and we make the rules. The rules are specific in the contract and will be enforced if any situation should arise that goes against them. Please keep in mind there's a waiting list of exhibitors trying to get into the event, and your spot can be replaced. Be respectful, we are serious about this moving forward with all our events. The staff and exhibitors are not doormats. If you also decide to speak negatively about the brand online or another exhibitor that was there, please expect to not have a space at any of the future events with Chase Con Expo LLC. - All metal grids must have floor support pieces. Staff will be checking your grids to see if they are stable, and they will not fall on you or your attendees. If it falls and you don't have the floor pieces for it to hold it up properly, you will need to remove it from the show.
- There are carts that can be used to bring in your items (First come first serve. If needed, please be courteous to each other and put it in the back loading dock. DO NOT HIDE THE CARTS BY YOUR TABLE OR BOOTH! A happy con is a good con!)
- If it seems odd there’s a lot of “DO NOT’s”, it’s because it’s already happened.
- Load-Out Sunday 8/4/24 4pm. Same rules apply.
